TERMS AND CONDITIONS

  • Booking a Yurt
    • A 25% Deposit is required to make your reservation. This is collected via Paypal at the time your booking is made.
    • The balance is payable 21 days before your arrival. We will send an email request 6-8 weeks prior to your stay with payment instructions.  Your balance can be paid via bank transfer (details will be provided on the email), PayPal or via cheque.
    • The full booking balance must be paid 21 days prior to arrival. If the balance is not paid in full, we reserve the right to cancel your stay with no refund due.
    • If the booking is cancelled 21 or more days before the arrival date then a charge of 25% of the stay will be made.
    • If the booking is cancelled less than 21 days before the arrival date then a charge equal to the full booking amount will be made.
    • In the event of a no show or booking reduction (after the arrival date) the full cost of the booking will be charged.
  • Arrival and Departure
    • Please contact West Wood before 11am on the day of your stay to confirm your expected time of arrival. This can be done by e-mail to yurts@westwoodyurts.co.uk or you can call/text us on 07454 734 369.
    • We ask that you arrive from 3pm to 9pm. Please note, we don’t have a reception desk and will meet you at the appointed time at your accommodation.  Arrivals outside of these times will require prior acceptance.
    • Parking facilities are provided a short distance from the yurts. We have limited space allocated for parking therefore we ask that you bring no more than one car if you are staying in a small yurt or two cars if you are staying in a large yurt. Parking is provided at your own risk.
    • On the day of your departure, we would be grateful if you could vacate your yurt by 10am for cleaning purposes. West Wood is located on a working farm and so your co-operation would be greatly appreciated.
  • Damages Policy
    • The vast majority of our glamping guests leave their accommodation in an acceptable condition on their departure. All we ask is that you leave the yurts in a respectable condition, having folded the futons back up to their original positions, done your washing up and placed your waste at the bin store at the utility block at the centre of our site.
    • Please let us know if you damage anything throughout your stay. We only charge for replacements in exceptional cases as we do expect a degree of wear and tear.
    • The only exception to this policy is where we may charge a nominal damages/excess cleaning deposit with group bookings.
  • Safety Notice
    • West Wood Yurts is not a manicured campsite with paved paths; therefore in places the terrain can be uneven and steep. Please make sure all members of your group are aware of this and wear suitable footwear.
    • Log burners are provided at the centre of each yurt as a heat source; these can get very hot to touch when in use! Please use the fire guards provided to surround the log burners if there are any children in your group as a safety precaution to prevent any accidents or injuries occurring.
  • Refunds
    • We recommend you take out holiday cancellation insurance to cover such circumstances. But in the event of West Wood not being available due to flood, fire or other unforeseen circumstances a full refund will be provided for the cost of the holiday only.
  • General Rules
    • We do accept single sex groups with no ban on stag or hen parties; the only rule is you must book the whole site, or half in consecutive numbers. Full detail is provided in the FAQ’s section.
    • Noise can always cause an issue, so bare this in mind.  If we feel the level is unacceptable you will be warned once.  If the noise levels continue we reserve the right to ask you to leave the site.  We provide a unique setting and hope our visitors can respect it.
    • Under no circumstances are cars to be parked on the site. After unloading they are to be returned to the parking area.
    • No fires or barbeques are permitted outside of the purpose made areas.
    • Responsibility for children and your own general safety is your own. Please remember the sense of freedom that the site provides, which in turn can present many dangers.  We take safety very seriously at West Wood and have provided as many safety features as possible, but please keep a watchful eye over your children to ensure everyone has an enjoyable holiday.
    • Access to the main farm steading is only allowed when accompanied by a member of staff. We are a commercial unit and tractors and machinery are always on the move.
